Editing Items in a Collection
Using the Acquisition Station, you can retrieve and edit items from your CONTENTdm collection. This enables users without Collection Administration privileges to make changes to a collection. From the Acquisition Station, you will search for the items and download them from the collection into the Acquisition Station to make changes. When you have finished working with the items they must be uploaded to the pending queue for Collection Administrator approval and addition to the collection database.
To replace images rather than edit metadata see either Replace Single Images in a Collection or Batch Replace Images in a Collection.
Note: When you download items from a collection into your project, the items are locked from editing by other users but are still available for viewing in the Search Client. If you download then delete an item from your project (whether or not you make any changes), the item is unlocked and returns to its original state within the collection.
To edit items:
Open an Acquisition Station project that is associated with the collection you wish to edit.
Click Search from the Acquisition Station toolbar. The Query Window opens. Verify that you are searching the appropriate collection (the collection name is displayed in the title bar of the Query Window).
Type search keywords in one or more of the available fields. Use the index list at right to verify the spelling of search words.
Click Search. Search results are displayed below the search fields. Click Forward or Back to move through search results. Click Prev Batch or Next Batch to move backward or forward 100 items.

Once you have located the item(s) to edit, do one of the following:
- To download multiple items: Click Grab Set. Download up to 100 items within your search results at a time. The items will be downloaded into the Acquisition Station for editing. Tip: No more than 100 items at a time can be downloaded into the Acquisition Station using the Grab Set operation, but you may "grab" different batches of 100 items several times in a row. To maintain acceptable upload times, no more than 5000 items total should be in an Acquisition Station project at any one time. If using the Grab Set operation would cause the number of items in the project to exceed 5000 you will need to create a new project, or delete or upload items from the project, or limit the number of items you are attempting to download into the project.
- To download a single item: Double-click on individual images in your search results to open the Media Editor and edit items. Click Save to keep your changes. The item is automatically downloaded to the Acquisition Station.
When you have finished editing the items, click Upload. Items will be sent to the pending queue for Collection Administration approval.
If you exit the current Project your items are saved until they are uploaded to the pending queue.
To sort search results:
Select a metadata field from the pull-down list below the search fields next to Sort Results By and click Search.
To change the number of results shown:
On the Acquisition Station Edit menu, click Options.
Click the Thumbnails tab.
Select the desired number of rows and columns and click OK. If the Query Window is open, click the Search button to refresh the page and see your changes.
Double-click on an item thumbnail to select it. The Media Editor and a preview of the item will open. (Note: The Acquisition Station provides a preview for static image files such as JPEG and GIF only. A blank preview box will open for other file types.) Update the metadata information of an item by typing text directly into the text boxes in the Media Editor.
Click on Save to resave the item and any new information.
Project additions, updates, and deletions are automatically saved to your project when you close it.
