Adding new items and building the text index
From the Administration menu in the Acquisition Station toolbar, click Collection Administration. This opens the Collection Administration console.
Tip: To access Collection Administration from a Web browser, type http://yourserver/cgi-bin/admin/start.exe in your browser address bar (replacing "yourserver" with the IP address or URL of your CONTENTdm Server). Enter your User Name and Password. Click the name of the collection you want to work with.
Click Add New Items from the available menu options. This is the pending queue. Items that have been uploaded from Acquisition Stations and are pending approval will appear here. If the collection utilizes a controlled vocabulary, any terms that have been submitted for approval will appear here. Collection Administrators may add, edit, or delete individual items for approval by clicking on any item name.

To work with Controlled Vocabulary:
Click Add to accept the term and add it to the controlled vocabulary list. A message confirms the term has been added.
Click Edit to change the term within the item metadata. A link to the item appears. Click the link to open the item and edit the metadata. Click Back to Add new items.
To work with pending items:
Click the item name. The item and metadata appear.
Edit the metadata and click Add New Item or click Delete this item in the lower left corner of the page. A confirmation message is displayed.
Click Continue to return to the list of pending items. Approved items are added to the collection but do not become searchable until the text index is built.
To approve all pending items:
Click Add All items in the batch approve section. A list of added items will appear.
Click Back to Collection Administration at the end of the file list.
To delete all pending items:
From the Batch Delete section, click Delete All Items
Type OK to confirm the deletion of all pending items (this deletes all items that appear in the pending queue, including items that have been uploaded by other users).
Building the Text Index
Click Build text index from the Collection Administration menu options. This step makes it possible to search for recently added items.
Click Start Build. When the text build is complete, the message "Build of text index was successful" will appear at the bottom of the page.
